What should an AI assistant for fleet management do?
Answer plain-word questions from your own data
Your team should be able to ask the way they would ask a colleague: “Which bikes are nearly empty?”, “How many riders rode this week?” or “How do I set up a parking zone?” The answer should come from your own vehicles, riders, trips and money, or from the product’s help pages, not from general knowledge about fleets. Good answers include links that open the exact rows, already filtered.

What must an operator assistant never do?
Invent numbers
A confident wrong number is worse than no answer, because people act on it. If the assistant cannot see something, it should say so plainly, for example “I can’t see that yet”, and tell you what it did count. Ask any vendor what their assistant does when the data is missing, and test it with a question you know it cannot answer.
Act without a person confirming
Locking a vehicle with a rider on it, or creating the wrong work order, has real effects. An assistant may propose an action, but a person must confirm it. In Axons Mobility, the assistant can only propose a work order or a lock, unlock or reboot command. Each proposal has a Confirm button, nothing runs until someone presses it, and the same action cannot run twice.
Show data a user is not allowed to see
The assistant must follow the same permissions as the rest of the product. A mechanic who cannot see revenue in the console should not be able to ask the assistant for it. Each person should see only their own workspace, the fleets they may access and nothing their role hides, such as money or personal data. Every question should also be logged, so there is a record of who asked what and when.
Estimates vs facts: how should an assistant label them?
Not every number on a fleet dashboard is the same kind of number. A count of trips from your records is a fact. A recommendation, or a churn risk that says a rider may stop riding, is an estimate. In Axons Mobility, recommendations and churn risk come from set rules, so they are estimates too.
A good assistant keeps the two apart. When it quotes an estimate, it should say so and, ideally, explain the rule behind it. When you read an answer, ask: is this counted from records, or worked out from a rule? Make big decisions, such as cutting a fleet or changing prices, on facts, and use estimates to decide where to look.
How do you connect ChatGPT or Claude to fleet data?
Your team may already use an AI app it likes. Instead of learning a second assistant, you may want that app to see your fleet data. That is what MCP is for.
MCP, the Model Context Protocol, is an open standard that lets AI apps reach tools and data outside the app itself. A fleet platform that supports MCP publishes a set of tools, such as “list vehicles under the battery floor” or “show this week’s trips”. When you ask your AI app a question, it calls those tools and uses the results in its answer. The AI app does the reasoning; the platform decides what data each tool returns and which actions it allows.
A safe connection needs these controls:
- OAuth sign-in with the user’s own permissions. The AI app sees only what the person who connected it may see, never more.
- Approval before changes. Any change the AI app wants to make must be approved first.
- A consent record. A record of who connected which app and when, which cannot be edited afterwards.
- A log of every call. A per-session record of each tool the AI app called and what came back.
- Connections that expire. A connection nobody uses should not stay open forever.

What does an AI assistant cost?
There are two common cost models, and it helps to know which one you are paying for.
- A built-in assistant. The vendor runs the AI and charges for use. In Axons Mobility this is credits: 1 credit is 1 US cent, each type of question has a fixed price, there are 500 free credits to start, and a failed question costs nothing.
- Your own AI app. The AI usage is on your own AI account, under your own plan with that AI provider. In Axons Mobility, connecting your own AI uses no assistant credits.
Ask any vendor whether failed or refused questions are charged, whether prices change with question length, and what happens when credits run out.
How do you keep rider data private when using AI?
- Keep personal data out of prompts. Do not paste rider names, phone numbers or ID details into a question. Ask about vehicles, trips and totals, and open rider records in the console when you need them.
- Use roles and permissions. Give each person the smallest role that lets them do their job, because the assistant and any connected AI app follow that role.
- Read the logs. Check the question log and connection call logs from time to time, and remove connections nobody uses.
- Check your AI provider’s settings. When you connect your own AI app, the data it reads goes to that provider under your account’s terms.
